Educational Visits

Health and Safety Policy Statement and Guidance

This document contains guidance for the safe planning of school trips and visits. Its purpose is to offer support to any groups that take part in off-site activity. 

It supports the use of those activities that help our children and young people to learn. 

This document offers support and is clear about people's roles and responsibilities.

It should be read by all staff involved in the planning of educational visits.

The document  has been split into sections for ease of use.

Forms Recommended for school use and for seeking LEA approval of visits: 

Please note:  These must be completed and submitted electronically  via e-mail to Frank Thyer   Paper  submissions are no longer acceptable

Form 1. (MS Word [76Kb] opens in new window)  LEA Notification -  LEA approval is needed for all residential and hazardous activity (Planning) Use this form to apply for LEA approval.

Form 2 (MS Word [37Kb] opens in new window). Risk Assessment - Complete a risk assessment before seeking approval to organise a school trip. This may require an inspection visit.     

Form 3. (MS Word [56Kb] opens in new window) Parental Consent - Use this form to collect pupil details and seek parental  permission for a child to attend a visit.

Form 4. (MS Word [26.5Kb] opens in new window) Summary Contact Checklist - Use to collate details of all members of the group, children and attending adults.                 

Form 5. (MS Word [45Kb] opens in new window) Visit Evaluation Form  - Visits should be evaluated to highlight areas of good practice and areas for improvement. Evaluation is useful for future management of trips.

Form 6. (MS Word [52.5Kb] opens in new window) Educational Visits Tracking Sheet - This form is for use by the school's EVC to ensure  that preparation has been made for all aspects of the visit.

These can be used as starting points to write your own assessments for your activities. They can be altered for your schools use; they should not be submitted as assessments without addressing issues that are specific to your visit.
